What does Instrukt do?
It makes your business and life better by saving you time so you can focus on growing your business.  
 
For instructors it makes requesting subs easier and gives you more opportunity to pick up additional classes without spending so much time reading email. 
 
 
What studio management platforms does Instrukt work with?

Currently, Instrukt only integrates with MINDBODY. Your studio must use MINDBODY for class and instructor scheduling and the studio owner must create an owner account to sync with the studio's MINDBODY account before using Instrukt. 

We plan to integrate with other platforms in the future. We’d love to hear what platforms you would like us to support. Let us know at feedback@instruktapp.com.

Setup

Should I pick ‘Owner’ or ‘Instructor’ during account setup?
For most users this will be pretty straight-forward. There are some cases, however, where there could be some debate.
 
Select ‘Studio Owner’ only if you plan to set up a new studio account on Instrukt.
 
If your studio’s MINDBODY account has already been connected to Instrukt by another owner, you should select ‘instructor’. If your studio already has an Instrukt account which was setup by another owner, you should select ‘Instructor’. To complete setup of an owner account, you must have 'owner' credentials for your studio’s MINDBODY account and the ability to enter credit card payment information for your studio. 
 
If you are a co-owner or manager of a studio who needs owner account permissions, but there is already an owner account for your studio, you can follow these steps. 
  1. Setup an instructor account (if you do not already have one).
  2. Have the primary studio owner contact us at support@instruktapp.com. We will convert your instructor account to a co-owner or manager account. We will need the primary owner to provide us with the user name (email address) associated with the instructor account that is to be converted. 
 
As an instructor, should I have a separate account for each studio where I teach?

No! To get the most benefit out of Instrukt, you should only have one account. As an instructor you can associate as many studios as you want with your account. This way you’re always logged in at all studios and can immediately get notifications. With one account spanning multiple studios, Instrukt know when you are teaching at one studio and, therefore, not available to sub at another. Even owners who teach some classes at another studio which they do not own can accept an invite to another business from their account. 

I’ve downloaded Instrukt but I don’t see anything - now what?

If you are an instructor who’s downloaded Instrukt, you need the owner of your studio to create an account and get their studio account sync’d with MINDBODY. The studio owner or manager then needs to invite you to join their team on Instrukt.

I have multiple locations with different MINDBODY siteIDs. How do I use Instrukt with all my locations?

If your different studio locations are set up under multiple MINDBODY siteIDs, you will need a separate Instrukt account for each siteID. When you have your studios setup under different siteIDs, you have separate MINDBODY data for each studio. 

During setup, create an owner account for each siteID. You will need to use an alternate email address for each account you setup. 

To access your Instrukt account for each studio, you will need to log out of one account and then log into the account for another location. 

I have managers at my studio who need to see sub request activity. Do you have manager accounts?
Owners do not yet have the ability to designate managers from the app. If you have managers or co-owners who need access to the same functionality you have as an owner, we can set that up for you. Contact us at support@instruktapp.com. You'll need to send the email from the email address you have associated with your owner account at your studio. 
 
Please send us the username (email associated with their instructor account) for each user you want setup as a manager.
 
If you want to revoke these permissions, you'll need to send us another email asking us to remove their permissions at your studio. 
 
In the future, you'll be able to select managers from within the app. 
My studio has more than one owner - what do we do?
If you have co-owners who need access to the same functionality you have as the primary owner, we can set that up for you. Contact us at support@instrucktapp.com. You'll need to send the email using the email address you have associated with your owner account for your studio. 
 
Before we can set them up as a co-owner, they must have an instructor account that we can convert to an owner account. If they do not already have an Instrukt account, first have them set one up at app.instruktapp.com
 
Then send us the username for each user you want setup as a co-owner. The user name is the email address associated with the instructor account the co-owner has already setup
 
If you want to revoke these permissions, you'll need to send us another email asking us to remove them as a co-owner of your studio. 
 
 
Why don’t my class types from MINDBODY import into Instrukt?
Mainly, because we found that not all studios set class types for their classes. 
 
Instrukt uses class types to match your staff with the classes they are qualified to teach. To make sure all studios have class types to use, we’ve built in a list of common class types you can use to categorize your classes and instructors. We don’t think you’ll need finer resolution than this to make Instrukt work brilliantly, but if you do, let us know. We’ve included some nameless class types as well that you can use to identify any type of class and match the right instructors to it.
 
The class types you set in Instrukt don’t show up in your studio management platform or anywhere else. Only owners and managers can see the class types you've set. Not even your instructors can see the class types you set for them or for a class. Class types are only used to match instructors to classes to determine sub eligibility. 
 
We give you the option to hide the class types you don’t want to use at your studio. Limiting the visible class types makes setup faster and helps to ensure you only assign the class types you actively use. To edit your class types list, when logged in as a studio owner, navigate to the settings menu and tap on 'studio class types’. Place a check mark next to the class types you want to use in your studio. Remember, you should only use as many class types as you need to sort classes and instructors into categories for eligibility. A second class type that does not create additional differentiation does nothing to help you and, potentially, could make some instructors inadvertently ineligible for a class.  
Why do I only see a few class types when assigning class types to classes and instructors?
During your account creation, you were asked to select the class types you offer at your gym. We ask this so we can limit the options you see when assigning class types to only those which are applicable to your studio. This makes the setup process more efficient and helps ensure you use a consistent set of class types so sub eligibility rules are set correctly for all classes and instructors. If you need to add some class types to your list, navigate to your settings tab in the phone app and select ‘Set Studio Class Types’. Any class types on this screen that have a check mark next to them will show up as options when you are assigning class types to instructors and classes. 
 
What are class types and how should I be using them?

Class types are like qualifications and job requirements. An instructor's ‘qualifications’ must match the ‘requirements' for the class in order to be eligible to teach it. An instructor can have as many class types assigned to them as you wish, based on what classes you allow them to teach. A class is limited to three class types but we encourage you to use only enough class types to create the differentiation you require. Extra class types assigned to a class, where they don’t create extra differentiation do not add value. Think of how you would group your instructors into different categories to determine who can / cannot teach certain classes at your studio. No one but an owner or manager sees the class types you have assigned to a class or to an instructor. The instructors themselves do not see the class types you’ve assigned to them.

An instructor no longer works at my studio. How do I remove them from my Instrukt team?

Go to the instructor details under your studio settings. Click on the “Unlink” text next to the instructor’s email address. This will remove the link between your studio and the instructor’s Instrukt account. You will still see the instructor in your instructor list, but their status will be updated to “unverified”. Alternatively, changing the instructor’s status in your studio’s management platform to a non-active state will remove them from your Instrukt team and they will not appear in your list of instructors at all. There is no need to unlink them before deactivating them in your gym management software. Instructors may remove themselves from a studio by tapping on “studio associations” in the settings menu and selecting to “leave” the studio which they no longer wish to be linked to.

I accidentally invited an instructor using the wrong email address and the wrong instructor accepted the invite. What do I do?

If this happens, you will have an instructor instance in your gym management software (MINDBODY, etc.) linked to another instructor’s Instrukt account. Obviously this is an issue. But don’t worry. You can click on “unlink” next to the email address that is incorrect. This will break the incorrect link and you will be able to re-invite that instructor using a correct email address.

An invited instructor accidentally declined the invite to my studio

If an instructor declines the invite to your studio by mistake, you will have to send them another invite. The link in the original invite email they received will no longer work. 

Go back to your instructor list in Instrukt and tap on the instructor's name. You can choose to leave the email address from the previous invite or update the instructor's email to an alternate address. Tap on on 'SEND INVITE' and the instructor will receive another invite email. 

What can I do about miscellaneous classes that show up in my classes list?

You might see some one-off classes, old classes, or other types of classes on your schedule which you really don't offer at your studio anymore. There are a few things you can do about these classes. 

  1. Leave them there, in your list as 'unverified'. No one other than studio owners will see these. 
  2. We understand option 1 will bother those of us who like to keep things a bit neater. You can always assign just one class type to these classes and they will move down, into your verified list. If you wish, you can assign a class type to these that you don't use anywhere else at your studio.

In the future, we'll offer owners the ability to hide the extra class templates from view. But for now, we hope one of the options above will work for you. 

Studio Owners

As an owner, can I accept a sub request on behalf of another instructor?
No, not really. This concept conflicts with our vision of how Instrukt should work.
 
However, if a situation arises where you need to accept a sub request for an instructor you can use this work-around:
 
First, accept the sub request yourself. The original instructor will be notified that you have accepted their sub request and the class status will no longer show as 'sub needed'.
 
Second, go into MINDBODY and update the class instructor from yourself to the instructor who you are accepting the sub request for.
 
The new instructor will see the class in their Instrukt schedule and will receive a push notification before class to remind them that they are subbing the class. They will not, however, get a notification alerting them at the time you manually update the instructor info in MINDBODY. 
Why does an instructor not show up in the available subs list for a particular class?

There are a couple reasons an instructor might not show up as available. First, make sure the instructor has the correct class types set. If the class has two class types set, the instructor must also have those two class types set. An instructor can have more class types set than the class but they must have every class type that is set for the class. Second, the instructor might have a scheduling conflict. If an instructor is not on the schedule at your studio but still does not show up on the available list, it’s likely that they use Instrukt at another studio and they are teaching a class at another studio at that time. Instrukt considers instructors’ entire schedule when determining availability.

What happens when a sub for one of my classes decides they can no longer sub my class?
Instrukt considers any class you are originally assigned as the instructor as your responsibility until another instructor accepts a sub request. At that point the responsibility for teaching the class transfers to whomever has accepted your sub request. At this point they are considered the owner of that class session. If the instructor who accepted your sub request later determines they can no longer teach the class, Instrukt considers it their responsibility to find a sub for the class. Some studio owners may not look at it this way and will expect the original class instructor to find another sub. If this is the case at a studio you work for, follow these steps to find another sub. 
 
  1. You will see a sub request for your class. Accept the sub request. You will now be back to being the ‘owner’ of the class.
  2. Send out a new sub requests just like you would any other class.
  3. Wait for another instructor to accept the request. 
 
We’d love your feedback on this way of handling this scenario. If we get enough feedback supporting a different method, we might implement a setup option so owners can determine how Instrukt handles this scenario at their studio. 
Why am I not getting push notifications for available classes?
First, verify you are seeing messages in your notifications list but not on your phone’s lock screen. This will confirm you are an eligible for a sub request. If the notification appears in the notifications list but you did not receive a push notification, go into your phone's notification settings and verify that you have not turned off notifications for Instrukt.
 
On apple devices, open your phone's settings menu, tap on ’Notifications’, scroll down to ‘Instrukt’, tap on Instrukt and verify notifications are turned on. 
 
On Android devices, open ‘settings’, tap on ‘Apps & notifications’, ‘App info’, select ‘Instrukt’, tap ‘App notifications’ and verify that notifications on turned on.

I updated class instructor info in MINDBODY but the class still shows as “sub needed”

It’s best if you complete all sub requests using Instrukt, however, we realize there might be some cases where you need to manually change instructor info from within MINDBODY to fill an open request. If you do this, Instrukt will not know the sub request has been filled. In this situation, open the request in Instrukt and cancel the sub request.

What happens when I cancel a class?

There are two ways you can cancel a class:

  1. from Instrukt
  2. from MINDBODY

Any class detail screen an owner sees has a 'cancel class' button. You can use this button to cancel an individual class. Any class canceled from Instrukt app will be a 'show-canceled' type of class, meaning it will still show up on your schedule as a canceled class. 

If you want to cancel a block of classes, cancel the class forever, or cancel and hide the class from view, you will need to do this from within MINDBODY. After you cancel a class, the schedule in Instrukt will update accordingly. 

An invited instructor accidentally declined the invite to my studio

Instructors

As an instructor, should I have a separate account for each studio where I teach?

This way you’re always logged in at all studios and can immediately get notifications. With one account spanning multiple studios, Instrukt know when you are teaching at one studio and, therefore, not available to sub at another. Even owners who teach some classes at another studio which they do not own can accept an invite to another business from their account. The one exception to this is when an owner has multiple studios with different MINDBODY site IDs. An Instrukt owner account currently only supports a single site ID. In the future, owners with more than one site ID will be able to manage all of their businesses without needing to switch between accounts.

What to the colors in my schedule indicate?

Instrukt color codes your schedule view to make it easy to determine class and sub request status. This chart outlines the various colors an instructor will see in their schedule. 

Can I turn off push notifications?

Yes! Push notifications are the best way to be instantly alerted when a sub request becomes available for you to pick it up. You'll also get push reminders when you are subbing a class and when another instructor fills a request you've submitted. But if you choose to turn off push notifications, you'll still see available sub requests in your schedule, a badge on your Instrukt icon alerting you to new messages, and all messages will still be visible in your notifications tab. 

Push notifications can be turned off in your phone's setting menu. 

I created a second account but now realize I should have only one. How can I fix it?

We're glad you've realized one instructor account is better than two. Here's what you need to do.

  1. Select the account you want to keep.
  2. Log in to the one you no longer wish to use. In the settings menu, tap on 'studio associations'. Select to 'leave' the studios you wish to move to the other account. 
  3. Log in to the account you want to keep. 
  4. Contact the studio owners who's studios you just left from your old account and ask them to re-invite you to their Instrukt team. They can send the invite email to any address. As long as you are logged into the account you want to keep when you accept the invite, your studio association will be correctly linked with the account you wish to keep. 
Can I update my email address for my account?

Right now you do not have the ability to update your email address in Instrukt. We will add this capability in the future. If you need your email address updated, please contact us at support@instruktapp.com and we can help you out. 

Keep in mind that nobody will see the email address you use for your account and no critical emails are sent to your user account email address. It is only used to log in to Instrukt. Also, you can be invited to a new studio using any email address, regardless of the one you use to log in. As long as you are logged into your account when you click the 'accept invite' link in the new invite email, your Instrukt account will be correctly linked with your profile at the new studio. 

Why do Instructor bio updates made in the Instrukt app not show up in Mindbody?
Many instructors work at several studios. Some business owners want their instructors’ bio information to say something specific about their business. In the Instrukt app you should have a nice overview of yourself, what you can teach, and how great you are at it. We don’t want this overview to overwrite the carefully crafted bio you tailored specific to one studio. We did download the bio from the first studio you were invited to join via Instrukt to get you started. But from here on out your edits will remain within Instrukt for all your studio owners to get a better sense of the broader you.Remember your cycling studio owner may know a yoga studio owner looking for a new instructor. If they know how awesome you are at teaching yoga (because they read your bio on Instrukt) they just might mention you to their friend. 
What does my bio do for me? Who sees it?

At this point not too many people see it. We have some plans for it in the future so keep it updated, keep your class types accurate, and we’ll let you know more in the future. Oh, and that picture? It came from the first studio you associated with in Instrukt. We’ll let you change that soon as well.
